Human Resources Administrator for Schools – Onboarding and Human Resources for Curia

Diocese of Bridgeport

OVERALL RESPONSIBILITY:

The Human Resources Administrator for Schools provides administrative support across all Diocesan and Diocesan-sponsored schools (“Schools”). Administers and coordinates onboarding, fingerprinting, personnel files, contracts/wage agreements, and other related issues. Ensures candidates have complied with all new hire requirements prior to starting their employment/new position in the Diocese. Produce employment agreements and ensures compliance with eligibility to work requirements, such as I-9s, background screenings, VIRTUS training, and Department of Children and Family Services (DCF). Conducts on-site fingerprinting and maintains personnel files.

ESSENTIAL DUTIES AND RESPONSIBITIES:

  • Monitors candidates’ onboarding status ensures completion for all background screenings and coordinates issues with school Principals and/or Business Managers.
  • Provides onboarding services for new hires and rehires utilizing Paycor and written documentation as needed, oversees the candidate throughout the process and answering associated questions.
  • Enters updated information into Paycor for new hires and all employment actions.
  • Coordinates on-site fingerprinting for all schools’ employee candidates, including obtaining required documentation and collecting payment.
  • Issues all employment agreements for new hires, new/changed positions and annual updates.
  • Coordinates completion of all waiver forms and ED 126 for personnel for Superintendent approval.
  • Follows-up with school personnel to obtain missing documents and information (i.e. pastor recommendation letters, certified transcripts).
  • Maintains all Human Resources files for school employees.
  • Assists with needs for personnel file information.
  • Maintains and updates the state’s CHRO form in compliance with state statutes.
  • Completes additional forms as directed.
  • Ensures fingerprinting occurs and coordinates problematic results with the Director of School Employee Relations and the Superintendent’s Office.
  • Supports the Safe Environment Office with ensuring compliance with background screenings and VIRTUS training.
  • Responsible for schools’ onboarding documentation and provides updated forms to the Diocese Human Resources Department for Paycor updates.
  • Seeks assistance from the Superintendent, and the Human Resources Department as needed and promptly escalates any issues when appropriate.
  • Assist Curia HR with the administration over all leave of absence process, FMLA and other leave programs, ensuring compliance with federal and state laws, ADA and company policy paid time off.
  • Performs other duties as assigned.

QUALIFICATIONS:

  • Bachelor’s degree in administration or related field.
  • 3-5 years prior experience coordinating a high-volume process with multiple checkpoints.
  • Maintains confidentiality.
  • Demonstrates strong organizational skills and the ability to prioritize and work efficiently.
  • Exhibits strong attention to detail to ensure accurate and consistent information, proven track record in timeliness, follow-up and meeting deadlines.
  • Possesses strong oral and written communication skills and demonstrated problem-solving abilities.
  • Demonstrates strong relationship-building and collaboration skills.
  • Remains dependable and handles stressful situations appropriately.
  • Recognized when to escalate issues.
  • Demonstrates strong analytical skills and focus on process improvement and redesign.
  • Possesses strong computer skills and technical aptitude, including advanced knowledge of MS Word, Excel, PowerPoint, Paycor or other HRIS/Payroll system, and vendor-based systems.
  • Demonstrates coordination and manual dexterity, normal mental and visual ability; ability to lift as required in a normal office and school building environments.
  • Performs physical activities such as walking, sitting standing, bending, reaching, talking, handling, hearing, carrying, keyboarding.
  • Prior experience in schools or non-profit environment is preferred.
  • Practicing Catholic preferred.
  • Adheres to the U.S.C.C.B. Charter for Safe Environments Policy for Virtus compliance and adhere to the civil laws and reporting procedures.
